Giftogram’s January 11 documentation describes a USD2,000 annual trigger for W-9 collection in its digital reward workflow, replacing the USD600 amount in its June 13, 2025 introduction. The feature already existed; the new account reflects a higher reporting threshold and places the information request inside redemption. [S01] [S02] [S03] [S04]
The higher trigger changes when the documented redemption gate applies
The IRS explains that the applicable thresholds under sections 6041 and 6041A were USD600 before the 2025 law change. Its Notice 2025-62 states USD2,000 for relevant payments made after December 31, 2025 and before January 1, 2027, with annual inflation adjustment after 2026. That is specified information reporting, not a new general exemption from income tax. [S04]

A dated product setting and applicable specified-payment information-reporting boundary, not tax-free income, employee wage exclusion, actual recipient totals or a universal first date for requesting W-9 details. IRS states USD2,000 for 2026 and inflation adjustment thereafter; no future fixed threshold assumed.

Giftogram’s documentation says enabled campaigns track the recipient’s annual reward amounts by Recipient ID, or by email when an ID is absent. Its January 22 help page says recipients reaching the documented threshold must submit the form before redemption; subsequent-year collection restarts when that year’s threshold is reached. The posts also use wording such as “over” or “crosses”, so they do not establish a consistently described exact-equality boundary for every account. [S01] [S03]
The company says the check covers the name, TIN type and taxpayer identification number against IRS records, while expressly excluding verification of every detail, such as the address. Reports can be requested for campaign or year-end administration. These are described controls, not evidence that a particular recipient’s identity or tax treatment has been independently verified. [S03]
The feature is documented for US recipients. The issuer says a recipient who does not supply the form cannot redeem, but the payer may still have a filing obligation. Its support page says to contact the team to activate tracking, while the January blog describes Super Admin campaign settings. Organisations should distinguish those dated descriptions from a demonstrated current account configuration. [S01] [S03]
A reporting threshold is not a tax-free allowance, and the platform’s label of a “Federal Threshold for W9 collection” should not be read as a universal rule that W-9 information is unnecessary below USD2,000. The form supplies taxpayer details; the reporting obligation, payment category and employee classification are separate questions. The IRS notice also distinguishes payment-card and third-party-network reporting under section 6050W from sections 6041 and 6041A. [S03] [S04]
Employee gift certificates show why the distinction matters. IRS guidance says certificates redeemable for general merchandise, or with cash-equivalent value, do not qualify as de minimis fringe benefits. Taxable employee benefits belong in wages and relevant payroll reporting. A narrowly defined certificate for a specific low-value item can have different treatment depending on the facts, so the gift-card collection setting does not determine an employer’s payroll obligations. [S05]
For reward buyers, tying the request to redemption can help gather records but also delays access when information is missing. Payments made through other departments or suppliers may still require payer-level reconciliation. Giftogram promotes the feature for customer incentives, referrals, research and larger reward campaigns; it publishes no measured reduction in missing forms, redemption friction, filing errors or revenue attributable to this feature. The disclosed advance is a documented workflow and threshold, with compliance responsibility remaining with the payer. [S01] [S03]
